Membership Management
Membership management is a many fold
topic, thus, for this short description, the focus will be on
membership renewal. Memberships in an organization can be
for any length of period, but generally they are based on an
annual renewal. Members may all expire at the same specific
time in a year; this is known as a fiscal membership based
renewal. For this type of membership, new members are
charged a pro-rated amount when joining in between the start
and end of the membership period. Thereafter, the new
members renew at the same time as existing members. The
benefit of this type of membership renewal is that all
renewals happen at a specific time, so renewal efforts can
be concentrated. For smaller associations, this type renewal
works well. For large organizations with tens of thousands
of members, the annual renewal process can be very onerous.
The other type of members’ renewal
which must be managed is anniversary renewal date, where
members are members until they expire at the anniversary of
their membership. The benefit of this type of renewal is
that the renewal efforts can be divided over the course of
the whole year, requiring less concentrated efforts, but
more management to ensure that the renewal efforts take
place at the correct time.
Whether it’s managing a first, second
or subsequent renewal effort, timing can be everything.
Mendon Associates Inc. has experience in managing both
anniversary date and fiscal year renewal efforts. Renewals
can be set up to be automated based on e-mail broadcasting
for some or all of the efforts, or driven by running a
report screen, based on a start and end date range. Messages
can be varied to change with efforts. For that extra effort
of professionalism, both posted and e-mailed renewal
messages can drive members to a web-site with access to
their data on-line and can interface to on-line credit card
processing facilities for quick response.
